1. ENTIRE AGREEMENT: We believe in clear and open communication. This Agreement represents the complete understanding between ATEIA Photography & Video (“ATEIA”) and you, our valued client. It ensures that both parties are on the same page, superseding any previous discussions. Should any updates or changes be needed, we kindly ask that they be made in writing and mutually agreed upon.

2. RESERVATION: Once your booking is confirmed, your chosen date and time are set aside exclusively for you. To maintain this commitment, a $500 date change fee applies if the wedding date is altered for any reason (including unforeseen circumstances like fire, strikes, or extreme weather—excluding COVID-19). This helps us keep our service consistent and dependable. The fee is in addition to the non-refundable deposit.

3. CANCELLATION: We understand that plans can change. If the wedding is cancelled within nine months of the scheduled date, the full package amount becomes payable, minus any non-refundable deposits already paid. This helps us recover the time and resources we’ve dedicated to your day.

4. PRE-EVENT CONSULTATION: We want to get to know you and ensure everything runs smoothly. About four weeks before the wedding, we’ll reach out via email to arrange a pre-wedding meeting to go over timelines, locations, and all the special moments you’d like us to capture.

5. EVENT GUIDE: Your wedding day is filled with important people and moments. While we do our utmost to document it all, having someone assigned to guide us to key individuals helps ensure no one is missed—especially during family portraits.

6. SHOOTING TIME / ADDITIONS: To deliver the quality you see on our website, we require the following:

  • 90 minutes each for the Bride and Groom preparations
  • 60 minutes at each post-ceremony location
  • 45 minutes setup time before the Bride’s arrival at the ceremony

These timeframes help us capture your day with care and creativity. While we’ll always do our best with the time given, please know that reducing these windows may impact the final result. Standard coverage includes up to 8 hours, and additional time is available if needed.

7. HOUSE RULES: We always aim to work respectfully within the rules set by venues and officiants. If there are any specific permissions or restrictions, it’s helpful for us if you can manage these or advise us in advance. This way, we can work together to get the best results.

8. COPYRIGHT & USAGE: All the photos and videos we take are protected under copyright law. You’re welcome to use them for personal sharing with friends and family. If you’d like to use them commercially (e.g. in publications or promotions), we just ask that you reach out to us for written permission.

9. MODEL RELEASE: By booking with us, you kindly allow ATEIA and our associated vendors to use your photos and videos for promotional purposes. This might include website galleries, studio displays, competitions, or social media. We’re always respectful in how we share these moments.

10. COMPLETION SCHEDULE: We pour a lot of love and detail into editing your images and video. Final delivery takes up to 16 weeks from your wedding day (or up to 18 weeks in peak seasons). Once your balance is settled, you’ll receive your online gallery.

  • Album design takes up to 4 weeks after image selection
  • Once approved, printing takes up to 6 weeks
  • Parent albums are exact copies of the main album
  • Express turnaround for Thank You cards isn’t available at this time

11. PAYMENTS: To secure your booking:

  • Photography & Album Package: $750 deposit, then $1,500 at the pre-wedding meeting. Remaining balance due at final delivery.
  • Photography, Video & Album Package: $1,250 deposit, then $1,500 at the pre-wedding meeting. Remaining balance due at final delivery.

12. PAYMENT METHOD: Deposits are made securely via credit card on our website. Final balances are paid via direct bank transfer.

13. LIMIT OF LIABILITY: Your memories are incredibly important to us. In rare and unforeseen situations—such as illness or emergency—ATEIA will do our absolute best to find a suitable replacement. If this isn’t possible, we will refund all payments made. While we take every professional precaution with your files and equipment, in the very unlikely event of loss or damage beyond our control, our liability is limited to the value of the package you booked.

14. NON-GUARANTEE: We promise to give our all to document every meaningful moment. However, with a single photographer and videographer, some limitations naturally exist. A secondary video camera is used during key moments (ceremony, speeches, first dance) for backup only. We kindly ask that you review our work online to ensure it aligns with your expectations. If music for your video isn’t provided before the wedding, we’ll select something that reflects the mood of your day. Please note that any re-edit requests start from $500. We don’t include drone, steadicam, or guest reaction shots as part of our standard package.

15. SEVERABILITY: If any part of this Agreement becomes legally unenforceable, all other parts will remain in effect.

16. AMENDMENTS: Any changes must be agreed to in writing and signed by both parties to ensure clarity and mutual understanding.

17. IMAGE EDITING: We carefully edit each image to correct colour, exposure, and composition. Basic adjustments such as red-eye removal and cropping are included. While we don’t provide advanced retouching (like removing blemishes, tattoos, or objects), we always aim to present you in the best light. If something isn’t technically achievable, we’ll always do our best within reason.

18. VIDEO EDIT CHANGES: We include one round of minor adjustments within 2 weeks of delivery, but only for technical issues. Song selections should be submitted prior to the wedding—if not, we’ll thoughtfully choose them for you. A re-edit after work has begun or been delivered is subject to a $500 fee.

19. NON-PAYMENT: To keep things on track, we ask that your final balance is paid within 4 weeks of being notified that your content is ready. A late fee of $500 applies beyond this window. If we don’t receive payment within 8 weeks, we may need to pursue formal recovery via VCAT. Please keep your contact details up to date with us.

20. REFERRAL PROGRAM: We’re so grateful when our couples refer their friends and family. If you booked during the time our Referral Program is active from 2025, you can earn a $500 reward for each referral who books and pays their deposit. To qualify, referral details must be submitted via our Home Page prior to the referred couple confirming their booking — no exceptions. Their booking must exceed 10 hours of coverage. Rewards are paid via PayID, and each new booking earns a separate reward. We reserve the right to revise or end the program as needed, but we’ll always honour those who meet the terms.

21. PRICE BEAT GUARANTEE: We’re proud to offer new bookings the best possible value. If you find a publicly advertised price from another studio offering similar quality and a comparable number of genuine online reviews, we’ll beat it. This applies to online pricing only and excludes private or unlisted cash discounts. All assessments are handled with care and at ATEIA’s sole discretion.
